In this article we will cover the main page under "Financial". This page allows for full overview of the company's project economy and invoicing.

Invoices

In this tab you will be able to see all the invoices in Moment (given proper access roles). With the proper role you will also be able to register new payments for invoices, see their sent status, corresponding project etc.

On the right, you will find the normal report filter that you can see throughout Moment. The only difference is that you will have some filtering choices that are exclusive to the "Invoices" tab. These are for example Invoice State and Invoice Type

Registering a new payment.

The outstanding amount on invoices will be shown in green. To register a payment, simply click on the column where it says "new payment", add the amount and any other info you might wish to add.

Amounts on overdue invoices will be shown in red. If you hover your mouse cursor over the amount, you will be able to see how long the invoice has been overdue:

Amounts that the customer has overpaid will be shown in yellow. If you wonder what to do when a customer overpays, you can read this article. If you need to know how to credit invoices, you can read this article.

Project Expenses

In this tab you will be able to see all the Project Expenses (costs) registered in your projects. From this tab you will also be able to edit and register new expenses. On the right side you will be able to see the tab's own report filtering options such as "Billable" and "Approval Status":

In this example we will show you how to register a new expense:

As you can see, much like hours, the expense must be set to "accepted" and be checked as "billable" in order to show up in "To Be Invoiced"

There is also an option to batch-change the status on expenses from "To be included in total price" to "Not included"

Products

In this page you can have full overview of company-wide product sales. For a complete overview of product sales, you can read this article. As in the other tabs under "Financial", some product-specific choices are available on the right hand report filter:

If you have the correct role based access control in Moment, you can also edit the product sales by clicking the edit button on the far left, and set product sales as either "Not accepted, accepted and invoiced"

This page also allows for creating a new product sale.

By clicking the cogwheel icon on the top right, you will get an option to either copy a product sale or update product sales from Excel:

Updating product sales from excel is fairly simple. Just download our template, open it in excel and fill it in the necessary fields. Then upload it to Moment

Subscriptions

This page is very simple. It gives a full overview of the active subscriptions in your company. The report filter has several options to filter for customer, project etc.

Because subscriptions are a price model, there are no options to change the subscriptions from this page, so you need to be aware of that.

To be Invoiced

To be Invoiced is one of the most important tabs in "Financials" as it gives total control and overview of invoicing in Moment. This tab is company-wide and will include all the projects on the company unless defined elsewhere in the report filter. The functionality is the same as in the "To Be Invoiced" at project level.-

Here you can create draft and invoices and approve hours, fixed price and subscriptions to be invoiced. You can also filter this view by project or customer of you need to.

Payments and Write-offs

This tab gives you access to payments registered for your invoices. There are several ways in which you can register payments in Moment(link). Mainly you can see invoice number, date in which the payment was registered and the way in which the payment registration was received.

For example, if you live in Norway and have set up an OCR (KID) agreement with your bank, the column "payment type" will show "OCR -file" or "Cremul-file".

Customer Ledger

This tab shows the customer ledger, along with outstanding, paid invoices and balances.

The overview for each customer shows outstanding invoices, which have been paid and the balances for each customer up to a certain date.

On the top left corner you will also have a filtering function.

One thing that is important to remember is that the customer ledger in Moment contains only information pertinent to invoicing in Moment and payments registered in Moment. No invoice information from external accounting systems is received into Moment. If any mismatch is found between Moment's customer ledger and the customer ledger in your accounting system, you need to compare these two and find what journal entries are missing.

This same principle goes for payments received, if any mismatches are found, you need to go through payments received in your bank and compare them to what has been registered in Moment.

Payment Reminders

This is a very useful tool in Moment. In this tab you can send payment reminders on overdue invoices. The due date on each invoice can be set either on each invoice or in the customer's invoice preferences.

To send a payment reminder, check the box on the left on the invoice you wish to send the reminder for. Then, scroll to the bottom of the page and choose the way in which you want to send the reminder.
