File exports

To use file export, this has to be configured, after the export is configured you are ready to export data. For invoices/accounting data there is also possible to set the export status.

Configuration

Accounting export

To select and configure the accounting export needed go to Setup / Settings / Export to accounting.

By default export format type is set to Accounting system, so the next step is to select the correct system from the accounting system selection box. If the accounting system you choose has some additional settings that must be configured, read more about it on the page for that specific system.

Export templates

The other option to be used when configuring an export is to use an export template. In many ways the same as with accounting system, you select the template to be used from the selection box. If the one you want is not there, read more about how to get it appear here.

Moment offers a method to defined your own file export for a number of data types/dataset.

Data types

  • Customers

  • Expenses (travel)

  • Invoices

  • Invoices grouped by account

  • Projects

  • Timerecords

  • Timerecords (grouped)

  • Users

New data types/dataset can be developed if the existing does not return the data needed. Contact integration development team for more details on this.

In addition to the data types, we offer also a number of templates for some systems that can be used. These templates can also be used as base for a new template.

Accounting data

Export

Accounting data is exported from the notifications menu.

Clicking on the icon will give you a list of notifications, if there are data to be exported this list will show the option "Export to accounting".

Export status

For accounting data Moment offers the option to set or change the export status. Any invoice can be set to one of the following statuses.

  • To transfer

  • Has been transferred

  • Do not transfer to accounting

By default, an invoice is set to "To transfer" when finalized. But this can be changed while the invoice is in draft. E.g., an invoice can be changed to "Do not transfer to accounting" if needed.

The status of invoices can be changed at any time. There are two methods used to change the status, depending on the need to change one or more. Both these options are found on the Finances / Invoices page.

  • Single invoice, separated To change the status for one invoice, first make sure that the column "Export status" is visible in the report. In this column, for the invoice needed to be changed, just click and select the status to be set.

  • Multiple invoices, range To change the status for multiple invoices in a range, use the option "Edit export status for several invoices" found under the cogwheel/settings menu in top right corner. In the dialog shown, enter the range of invoices to be changed. Select the status to be set and click "Update".

Upon changing status to "To transfer", the webpage must be refreshed to get the option for "Export to accounting" available on the notifications menu.

Exported files

Files that have been exported can also be downloaded manually at any time. The list of exported files is found in the Export to Accounting menu item found in Settings under Setup.

Time records

Time records are exported from the timesheet status page. This option will only be shown if there exists a configured or enabled export for time records.

When exporting time records, set the from and to date for the period requested.

Note! There is no flag on time records that has been exported, If selecting a period that includes dates that has been exported previously the export may contain data that has been exported earlier.

Travel and Expense claims

Expense claims are exported from the travel and expenses claims page.

When exporting travel and expense claims, set the from and to date for the period requested.
